About the Job

The Florence Crittenton Agency is seeking an Interim (Temporary) full-time Medical Receptionist. This person: greets and directs a variety of Agency visitors at the front desk or by telephone and supplies information in a cordial manner consistent with the philosophy of the Agency, a warm and caring environment. Ensures that all visitors sign in where appropriate, and notifies supervisor or other management immediately of any visitors that are not approved to be on campus. Maintains a strict policy of confidentiality regarding all matters of the population that we serve. Maintains orderly office supplies for Square One, ordering supplies as needed. Assists administrative staff with general clerical and administrative duties.

Essential Functions:

  • Operates switchboard efficiently and cordially, recording messages, connecting calls, and providing FCA information, as well as aiding visitors with requests for assistance. Utilize excellent customer service skills at all times.

  • Opens the Square One office each morning turning on lights and starting equipment, and at the end of the day, makes sure switchboard is set for “night” and that all lights, equipment, etc. is shut down for the evening. Checks to make sure the front door is locked and secured for the night, if last staff to leave.

  • Greets and checks patients in, verifies and updates necessary information in the electronic medical records database, performs all registration functions and collects copays and balances due as appropriate.

  • Maintains computerized scheduling and follows office scheduling policies.

  • Handles outgoing phone calls, as appropriate, confirming appointments, referrals, pre-certs, etc.

  • Maintains a neat and orderly office supply area.

  • Assists administrative staff with running copies, general program documentation, creation of spreadsheets, or copying of various other documents as requested.

  • Performs other duties as assigned.

  • Maintains confidentiality in all matters relating to residents, patients, and employees.


    Qualifications:

  • Solid knowledge of office functions and procedures, including but not limited to moderate proficiency in MS Word, Excel and Outlook.

  • Prior experience in medical office receptionist responsibilities and switchboard operation.

  • Ability to independently follow up on and follow through with projects in a timely manner.

  • Possess personality, demeanor, and patience to deal with a variety of phone calls, visitors, patients, and Agency staff.

  • Self-motivated with a strong organizational skills and the ability to work independently.

  • Capable of handling multiple priorities.

  • High school graduate or equivalent; some college preferred.


    Physical Requirements:

  • Ability to work in sedentary position for extended periods

  • Keen hearing and visual capabilities

  • Good command of English language and general verbal & written communications skills

  • Ability to apply keyboarding skills for extended periods

  • Able to lift up to 35 pounds


    Candidates must successfully pass an intensive pre-employment background check, including fingerprinting & drug screening and must have a clear driving record.
