HR Specialist
The Florence Crittenton Agency is currently seeking a full-time HR Specialist, to support the Human Resources Director in Human Resources functions.
Job Summary:
The Human Resources Specialist is responsible for performing a variety of routine human resources clerical duties; prepares new hire documentation; performs new employee orientation; processes required personnel file areas; issues, receives and distributes mail and correspondence; gathers data and compiles various reports for management; photocopies materials; maintains files; orders supplies; answers the telephone and assists with employee questions or inquiries; and promotes and maintains good employee relations. A significant portion of this position includes accurate tracking of audit information, and providing training in designated areas.
Essential Functions:
- Collects all necessary information for approved candidate(s).
- Initiates required paperwork for new hires.
- Assists in conducting orientation with new hires, and facilitates in training process(es), to ensure adequate training for staff is kept up-to-date within regulations and requirements.
- Conducts in-depth background and reference checks on potential employees, independent contractors, volunteers, in accordance with specific guidelines mandated by regulatory agencies and Agency protocol.
- Schedules and/or may participate in non-exempt/hourly interviews, as directed, and contacts candidates to facilitate the interviewing process for the human resources department, and in coordination with other departments involved in the process.
- Communicates with other employees, departments, administrators, applicants, etc., as directed, to ensure adequate delivery of services.
- Assists in coordinating with the employment process (i.e. processing applications, inputting data, analyzing transcripts, audit required documentation/information, references, announcements of vacancies, etc.).
- Sets up new employee files, monitors for completion of all required documentation, and files all related documentation in a timely manner.
- Maintains manual and electronic documents, files, and records (i.e. personnel records, employee lists, etc.) providing accurate information in assisting with operational effectiveness.
- Updates/logs training in the system, as needed, to ensure training is tracked and staff are completing necessary areas of training.
- Processes documents, data, and materials (i.e. ADP entry) for the purpose of recording/disseminating information to appropriate parties and inputting data.
- Maintains and updates log(s) of employee performance evaluations due and various licensure expirations; follows up with appropriate staff monthly regarding renewals and due dates.
- Responsible for conducting training in areas needed, (i.e. First Aid/CPR, TCI, PREA, etc.).
- Assists Director of HR with various clerical and other functions; provides necessary assistance in HR Director’s absence.
- Maintains confidentiality in all matters relating to residents, applicants, and employees.
- Attends meetings, as requested, to facilitate in operational effectiveness and support the departmental objectives.
- Performs other duties as assigned.
Qualifications:
- Bachelor’s of Human Resources Management, Business, or other related degree, preferred. High School diploma with some college in a related area, as a minimum requirement.
- Solid knowledge of office functions and procedures, including moderate proficiency in MS Word, Excel and Outlook.
- Some work experience in the Human Resources field preferable.
- Ability to independently follow up on and follow through with projects in a timely manner.
- Self-motivated, with a strong sense of organization and the ability to work independently.
- Capable of handling multiple priorities.
- Strong ability to maintain confidentiality of information.
Physical Requirements
- Ability to work in sedentary position for extended periods
- Keen hearing and visual capabilities
- Good command of English language and general communications skills
- Ability to apply keyboarding skills for extended periods
- Able to lift up to 40 pounds, and meet training standards for instruction.
